Flow history
If a workflow repeats over time — for example annually, or re-assigned to the same user more than once — Canyou keeps track of every run. The Flow history panel lets you see every past and current run of that workflow for the same user, side by side.
Where to find it
Open a workflow from a user's profile. Underneath the task list on the left, you'll find two tabs: Flow history and Access history. Flow history is selected by default.
What it shows
Each row represents one run of this workflow for this user — including the run you currently have open.
For every run you'll see:
- The status — Not started, In progress, Completed, or Cancelled.
- When it last changed — shown as both a relative time (e.g. "3 days ago") and the exact date.
The run you're currently viewing is highlighted, so you can tell it apart from the others.
Note: If this workflow has never been run before for this user, Flow history will still show one row — the current run.
Viewing a past run
Click any other run in the list to jump straight to that run's own page. The highlighted row can't be clicked, since that's the one you're already on.
Flow history vs. Access history
It's easy to confuse the two tabs, so here's the difference:
- Flow history shows every run of this workflow for this user — useful for recurring workflows, so you can see when it last ran or how many times it's been completed.
- Access history shows a detailed log of activity on the current task — who viewed or actioned it, when, and from where.
