Entry Points 📲
Entry points are QR codes and shareable links that let people join your business and get assigned their requirements — without you needing to invite them one by one.
Each entry point has its own unique QR code and link, and each one can be configured with different positions and approval settings. You can create as many as you need — one for new employees, one for contractors, one to include in a job ad — and print them side by side so each person scans the one that matches their role.
This works great for:
- Assigning requirements to new employees
- Assigning requirements to contractors or subcontractors
- Site inductions
Two approval modes
When you create an entry point, you choose what happens right after someone scans:
Approve before starting — The person scans and submits a request. You get notified, then choose their position and approve before they can begin their requirements. Best for roles that vary person to person, or when you want to vet who gets added.
Start immediately — The person scans and goes straight into completing their requirements. No approval step needed. Best for roles where anyone who scans should be granted access right away. What happens next depends on how many positions you attach to the entry point:
- Multiple positions — the user is shown a list and picks the one that matches their role.
- One position — the user is placed into it automatically with no choice required.
- No positions — the user joins the business but has no requirements assigned. See the note below about the warning state.
Create an entry point
- Navigate to the Users menu and scroll to the Entry points card. Click Add entry point.

Enter a Name for the entry point. This is an internal label only visible to admins — for example, "Employee onboard" or "Contractor onboard".

Optionally, add a Title and Description. These appear on the page people see after scanning your QR code or opening your link.

Choose your Approval flow — either Approve before starting or Start immediately.

If you chose Start immediately, select the Positions people can choose from when they join. A position is a group of requirements — such as workflows and certifications — that get assigned to the user automatically once they join. You can add as many positions as you need; the user will be asked to pick the one that matches their role.

Click Create entry point.

🎉 Your entry point is ready. Now let's get your QR code out into the world.
Get your QR code and link
- Click on any entry point in the list to open its details.

- You will see the QR code, your shareable link, and options to copy or download.

- Click Copy to copy the link to your clipboard — great for sharing in a job ad or email. Click Download QR code to save a print-ready PDF you can put up on site.
Using multiple entry points together
You're not limited to one. A powerful setup is to create one entry point per position and display their QR codes side by side — for example:

Each QR code routes the person into the right position and workflows for their role. No manual routing, no risk of someone ending up in the wrong requirements.
Print them both for a sign on site, include them in a welcome pack, or link to them from a shared induction page — whoever scans gets exactly the requirements that match their role.
Edit an entry point
- Click on the entry point in the list to open its details.
- Click Edit entry point.
- Make your changes and click Save changes.
No positions configured?
If you set an entry point to Start immediately but haven't added any positions, the entry point detail will show an orange warning: "No positions added yet. People won't have anything to choose from when they scan." Users who scan will still join the business but will have no requirements assigned to them. Click Edit entry point and add at least one position to resolve this.
Delete an entry point
- Click on the entry point in the list to open its details.
- Click Delete and confirm.
⚠️ Deleting an entry point is permanent. Any QR codes you have already printed or links you have shared will stop working immediately.
Approving access requests
If you are using the Approve before starting mode, people who scan will submit a request that needs your review before they can begin.
