What's New in Canyou: September 2026

Nine updates across onboarding, exports, notifications and payroll sync. Here's everything that's new in Canyou this month.

Custom Fields

You can now define your own data fields for users - anything specific to your business, like "Uniform size", "Apprenticeship start date", or "Site induction date." These fields can be auto-populated straight from onboarding form answers, so there's no manual data entry, and you can filter and search your user list by them from the Users page. For example, a retail business could instantly pull up everyone who needs a medium uniform reordered, while a trade business could filter for apprentices approaching their 12 month milestone - all without leaving Canyou.

Filtered User Export

Export a filtered user list to CSV - including any custom field values, the full invite timeline (sent, accepted), and position. This makes it easy to pull exactly the data you need for payroll, reporting, or compliance, such as a list of everyone who accepted their invite last month along with their custom field details, or a list of outstanding invites to follow up on.

Workflow Completion Notifications

Choose specific people or roles to be notified automatically the moment a user completes a workflow. For example, a site manager could be notified as soon as a new starter finishes their onboarding so they're ready to go on day one, or once payroll information is collected, a notification can be sent to the payroll team to sync that data through to the payroll system - no more manually checking who's finished.

Configurable Visa Details Task

Flow designers can now set a "force non-resident" option on the visa task, giving more control over how visa checks are applied for specific flows.

Configurable TFND Task

The Tax File Number Declaration task can now be restricted to specific individual types and payment bases - handy if you need to hide it for users who don't require it, like contractors paid via ABN.

Cloud Payroll Integration Upgrades

Bring users in directly from your connected cloud payroll system, no manual re-entry required - and now with a lot more you can set as part of that sync. Cloud payroll sync can now carry pay frequency, HECS/HELP debt status, cost centre assignment, and proper handling of contractors, labour hire workers, and working holiday makers, so more of the employee profile is ready to go in payroll without manual fix-ups afterwards. Before you sync, you'll also see a clearer "included in sync" summary so you know exactly who's about to be imported.

Xero Sync Overrides

The Sync to Xero form now has an "Overrides" panel that lets you manually adjust tax residency status, tax-free threshold claims, and study/training loan (HECS/HELP) details for that specific sync - handy when the payroll record needs to differ from what the user originally submitted.

Billing Usage Visibility

See your plan usage - onboards, e-sign, and more - directly in your billing settings, so you always know where you stand against your plan.

Default Onboarding Reminders

New businesses now automatically get reminder emails sent to users at 4 and 8 days after work is assigned, helping make sure tasks don't stall without any setup required on your end.
