An honest guide to the best employee onboarding software in Australia. Nine tools compared on TFN, super, work rights, licences, payroll sync and price.

The best employee onboarding software in Australia is the one that handles Australian paperwork (TFN declaration, super choice and stapling, Fair Work statements) and syncs it to your payroll without retyping. If your workers also need visas checked and licences tracked, you need more than a payroll add-on.
This guide compares nine tools Australian businesses use today, what each one is best for, and when each is the wrong pick, including our own. Every competitor detail comes from the vendor's public website, checked in October 2026. Prices change, so confirm with the vendor before you buy.

What to look for in onboarding software in Australia
Most "best onboarding software" lists are written for the US market. They rank tools on IT provisioning and welcome videos. An Australian business with a new starter on Monday has a different list.
1. The Australian forms, done properly
Every new employee in Australia needs the same core paperwork. Your software should cover all of it digitally:
- Tax file number declaration. Collected and validated before the first pay run.
- Super choice and stapled super. If a new employee doesn't choose a fund, most employers must request their stapled super fund details from the ATO (ATO: stapled super funds for employers). With Payday Super in place from 1 July 2026, wrong fund details leave you very little time to fix them (see our Payday Super set-up guide).
- Fair Work Information Statement, plus the Casual Employment Information Statement for casuals (Fair Work Ombudsman). Our guide to the Fair Work Information Statement covers who gets which one.
- Bank details and a signed contract.
If a tool can't do these, it isn't onboarding software for Australia. Our new employee onboarding checklist lists the full set.
2. Work-rights checks
It's against the law to employ someone who doesn't have permission to work in Australia, or to have them work outside their visa conditions. Employers check this through VEVO, with the visa holder's permission (Home Affairs: VEVO for organisations). A screenshot of a visa grant isn't a check, and visa conditions can change after day one. If you hire working holiday makers, students or sponsored workers, look for software that runs the check, keeps the record and reminds you before a visa expires. 3. Licence and certification tracking
Construction, labour hire, agriculture, education and aged care all run on tickets: White Cards, high-risk work licences, Working with Children Checks, first aid. Good onboarding software collects the licence at onboarding, records the expiry date and chases the worker before it lapses. A spreadsheet can't tell you a ticket expired yesterday.
4. Payroll sync
Ask exactly which payroll systems it connects to (Xero, MYOB, Employment Hero/KeyPay, Deputy, Cloud Payroll) and what moves across. "Integrates with Xero" can mean anything from a full employee record to a PDF.
5. Easy for the worker
Your new starter will fill this in on a phone, often on site or at night. No app download, no password, and forms that tell them what's wrong before they hit submit.
6. Data stored in Australia
TFNs, bank details and passport scans are the most sensitive data you hold. Ask where it's stored and who can see it.
7. Pricing that fits how you hire
Per-employee pricing suits stable teams. Per-onboard pricing suits seasonal and high-turnover businesses, where you might onboard 100 people and keep 20. Watch for minimum user counts, set-up fees and contract terms.

The tools in detail
Canyou
Best for: owners and operations managers in construction, labour hire and recruitment, agriculture, aged care, education and other compliance heavy industries who need workers cleared to work, not just set up in payroll.
Here's the gap most onboarding tools leave: onboarding gets them into payroll. It doesn't keep them legal to work. Canyou runs a workflow for each role, so a scaffolder, a casual picker and a relief teacher each get the right forms, documents and licence requirements. Employment Hero
Best for: businesses that want HR, payroll, hiring and benefits in one platform.
Onboarding is part of every HR plan, and Employment Hero's pricing page lists right-to-work checks (VEVO) and certification tracking on its plans. HR plans start at $10 per employee a month with a 10-user minimum, and payroll is bundled in the Employment Unlimited plan at a custom price.
Not the right fit if: you already run payroll in Xero or MYOB and only need onboarding, or your headcount swings a lot with seasonal work. We've written a fuller Canyou vs Employment Hero comparison.
Deputy
Best for: hospitality, retail and other shift-based businesses already rostering in Deputy.
Deputy's HR add-on includes paperless onboarding. Its help centre describes digital versions of the TFN declaration and super choice form, automated TFN declarations to the ATO, and stapled super requests. Training records with expiry dates and reminders can track qualifications. The HR add-on is $3.50 per user a month on top of a base plan from $6.75.
Not the right fit if: you need work-rights checks or role-specific onboarding workflows (not listed on the pages we checked), or you don't use Deputy for rostering.
HappyHR
Best for: small and medium businesses that want HR software plus access to an HR adviser.
HappyHR covers contracts, policies, TFN and super collection, certification reminders and VEVO checks (a $2 per employee add-on). Plans run $8–$12 per employee a month with a 10-employee minimum and 12–36 month terms. The Pro plan adds a dedicated HR consultant and a $1,899 set-up fee.
Not the right fit if: you're under 10 staff, want month-to-month terms, or onboard large seasonal crews you won't keep.
Xero (built-in onboarding)
Best for: small businesses on Xero Payroll that only need the basics, for free.
Xero has native self-onboarding in AU Payroll. New starters fill in an online form with their personal details, tax declaration, super fund nomination, bank details and an emergency contact. You review and approve the submission before the employee record (and their Xero Me account) is created. There's no extra cost on top of a Xero Payroll subscription. Not the right fit if: you need the Fair Work Information Statement, work-rights checks, licence tracking, document uploads or e-signed contracts in the same flow. None of that is part of the native form, which is where Canyou adds the most on top of Xero Payroll.
Xonboard
Best for: small businesses on Xero Payroll who just need tax, super and bank details in without paper.
Xonboard is a Xero App Store app. Its listing covers employee details, TFN declaration, bank details, super choice, Fair Work statements, document uploads, automated super stapling and default fund registration. There's a free plan and a Premium plan at $15 per onboard.
Not the right fit if: you need work-rights checks or licence tracking, or you're not on Xero Payroll.
Onboarded
Best for: recruitment agencies that need onboarding to sync directly with their ATS, such as Bullhorn.
Onboarded focuses on agencies: candidate registration, right to work checks, contracts and policy sign-off, licence and certificate upload, and integrations with ATS and CRM tools such as Bullhorn. Pricing is on request.
Not the right fit if: you need every licence and certification tracked to expiry, with the worker chased before it lapses (its site describes licence and certificate storage), or you want to see pricing before a sales call.
If your workers hold tickets, ask both Onboarded and Canyou to show you what happens when one expires six months after placement.
Sentrient
Best for: businesses that want onboarding, compliance training and HR policies in one system.
Sentrient's onboarding module collects personal, bank, super, tax and visa details, runs online forms, and connects to its learning system for inductions and compliance courses. Onboarding pricing is on request.
Not the right fit if: you need VEVO checks run inside the onboarding flow (its onboarding page lists visa details collected, not checks) or you want to price it without a sales call.
OnboardExpress
Best for: larger organisations in high-turnover, regulated industries such as aged care, healthcare and hospitality.
OnboardExpress offers contract building with conditional clauses, pre-employment checks, e-signatures, bulk onboarding and API connections to payroll and HRIS. Packages start from $3,750.
Not the right fit if: you're a small business that wants to start this week on a monthly plan.
Choosing onboarding software in Perth and regional WA
Searches for the top onboarding software in Perth usually come from mining services, construction and labour hire businesses with crews spread across the state. All nine tools are cloud software, so location matters less than three practical questions:
- Can a worker finish it on a phone with patchy reception, before they fly or drive out?
- Are support hours useful on Western Australian time? A 9 to 7 AEST help desk closes at 5 pm in Perth. Canyou offers live Australian support Monday to Friday.
