Canyou vs Access Onboarded: onboarding that keeps going after placement
Onboarded, now Access Onboarded from The Access Group, onboards and screens candidates for recruitment agencies. Canyou does the same job for agencies and employers, pulls placements in from JobAdder or Workforce One, and keeps every worker cleared to work long after placement: visas, licences and tickets watched to expiry, with published prices and a free trial.
Work rights checked with the Department of Home Affairs
Licences and tickets tracked to expiry

Quick verdict
The short answer
Both send candidates one link to finish on their phone, check work rights and track licences, and both work for recruitment and labour hire agencies. The difference is what happens after placement: Canyou ties tickets to each role, reminds the worker before anything lapses and syncs clean details into payroll, and you can see the price and try it before you talk to anyone.
Choose Canyou if…

Choose Access Onboarded if…

In more detail
Where the two products differ

Work rights
Visa checks that stay on the worker’s record
Both products check work rights. In Canyou, the worker enters their visa details on their phone during onboarding, your team runs the check with the Department of Home Affairs, and the result stays on their record. You get notice a set number of days before a visa expires, long after the placement or start date.
Visa status, class, expiry and conditions
Every check kept as an audit trail

Still cleared to work after the placement
Onboarding gets them into payroll. It doesn’t keep them legal to work. Canyou keeps watching visas and tickets after day one.

Licences and tickets
Tickets tracked to expiry, renewed by the worker
Access Onboarded collects licences and tracks expiry dates for the agency. Canyou ties licences to each position, so a new starter is asked for the right tickets from day one, and the worker is reminded to upload the renewal before it lapses.

Inductions
Site inductions from a QR code at the gate
Set up positions with the forms, licences and inductions each role needs. Put a QR code on site or a link in a job ad, and each person onboards on their phone, with training videos with questions and “approve before starting” if you want to check them first.
Separate codes for employees and contractors
Forms, documents and e-signatures in the same flow

Integrations
From your ATS to your payroll
Approved placements in JobAdder import into Canyou with their details already filled in, and Workforce One sends matched candidates straight into onboarding. Once a worker is cleared to work, Canyou sends validated tax, super and bank details into Xero, MYOB or Cloud Payroll. Astute Payroll is coming soon, and more recruitment and payroll connections are on the way.

Canyou vs Access Onboarded: questions
Anything else, start a live chat or book a 30-minute call with our Australian team.
Book a 30-minute demo →Is Onboarded still available in Australia?
Yes. The Access Group announced it was acquiring Onboarded in September 2024, and now sells it as Access Onboarded. The old onboarded.com.au address redirects to The Access Group’s website.
Is Canyou an alternative to Onboarded?
Yes, for recruitment and labour hire agencies and for employers. Canyou imports placements from JobAdder and Workforce One, checks work rights, tracks licences to expiry, runs inductions and collects payroll details, then syncs to Xero, MYOB, Deputy or Cloud Payroll. The one thing it doesn’t do is order reference or police checks.
How much does Onboarded cost?
The Access Group doesn’t publish Onboarded pricing; you book a demo for a quote (checked November 2026). Canyou publishes its plans, from $49 a month excluding GST.
Does Canyou work with recruitment software?
Yes. Approved placements in JobAdder import into Canyou with their details filled in, and Workforce One sends matched candidates into onboarding and gets cleared-to-work status back. Astute Payroll is coming soon, and more recruitment and payroll connections are on the way.
How hard is it to switch from Onboarded?
Connect JobAdder or Workforce One, set up your positions with the forms, licences and inductions each role needs, and send your next placement a link. You can try it for free first, with no credit card required.
Do workers need an app to onboard with Canyou?
No. They open a link or scan a QR code and complete everything in their phone’s browser.
Clear every placement to work before the first shift
Work rights checked with Home Affairs, licences tracked to expiry and payroll details collected, at about 15 minutes per worker.
